QuickNotes Privacy Policy

This Privacy Policy describes how the QuickNotes application (“QuickNotes” or the “App”) processes user data.

1. General Principles
QuickNotes allows users to save, organize and retrieve information, ideas, projects, experiences and memories. We aim to collect and process only information necessary to operate and improve the service.
QuickNotes does not sell users’ personal data. Users’ personal content is not used by TE MAHANA ITI to train its own artificial intelligence models.
2. Data We May Process
Depending on the features used, QuickNotes may process account data such as email address, name, profile information, profile picture and technical authentication identifiers, as well as user content such as notes, comments, dates, reminders, categories, collections, locations entered by the user, people entered by the user, photos, images, screenshots, documents, attachments, experiences and memories.
When a user sends an email to QuickNotes, we may process the sender address, message information, content, attachments and information extracted to create or complete a note. Emails may contain information about other people; users should only submit information they are authorized to use.
QuickNotes may also process information needed for invitations, sending, receiving and sharing between users. Technical services may process information such as IP address, device type, operating-system version or technical identifiers. QuickNotes does not currently use a dedicated analytics or crash-reporting service.
3. Purposes
Information may be used to create and manage accounts, save and synchronize notes, store photos and documents, organize information, analyze content when required by a feature, structure information automatically, manage reminders and dates, enable user interactions, maintain security and operation, provide support and enable account and data deletion.
4. Artificial Intelligence
Some QuickNotes features use artificial intelligence services, including the OpenAI API, to analyze or structure information provided by users. Depending on the feature, information necessary for the requested analysis may be transmitted to the provider.
TE MAHANA ITI does not currently develop its own AI model and does not use users’ notes, photos, documents, emails or other personal content to train an AI model of its own.
Automatically generated results may contain errors. Users remain free to review, modify or delete generated information.
5. OCR and Content Analysis
QuickNotes may use text-recognition technologies, including Google ML Kit, to extract text from certain images or screenshots. Depending on the feature, some operations may occur directly on the device while other processing may require information to be sent to services used by QuickNotes.
6. Technical Service Providers
QuickNotes currently uses, among others, Supabase (authentication, database and storage), OpenAI (certain AI features), Twilio SendGrid (certain email functions), Google (including ML Kit and AdMob components) and OVHcloud (certain technical, domain or related services).
These providers may process data necessary to provide their services. Some may process or host data in other countries. Where required, TE MAHANA ITI seeks to use applicable contractual mechanisms and safeguards for such transfers.
7. Advertising
The current version may include Google AdMob technical components. During testing, QuickNotes uses test advertisements. Relevant components may nevertheless process technical information necessary for operation. This policy will be updated before commercial advertising is enabled if processing changes.
8. Contacts and Location
In the current version, QuickNotes does not access the device address book and does not automatically collect the device’s geographical location. If these features are introduced, this policy will be updated and necessary permissions requested. Users may nevertheless voluntarily enter a location or person’s name in a note.
9. Data Retention
Account data is retained while the account is active and as long as necessary to provide the service. A deleted note may be retained for 7 days to allow recovery and is then intended to be permanently deleted.
When a user deletes an account, QuickNotes deletes the account and associated data, including notes, photos, documents and messages. Technical copies may temporarily remain in backups or with certain providers. Information may also be retained where required by law or necessary for security, fraud prevention or dispute resolution.
10. Account Deletion
Users can delete their account directly from QuickNotes. A deletion procedure is also available through the dedicated web page, and requests may be sent to contact@mahanaiti.com.
11. Security
TE MAHANA ITI implements technical and organizational measures designed to protect data against unauthorized access, loss, alteration or disclosure. Communications with QuickNotes services are protected using appropriate encryption technologies in transit. No information system can guarantee absolute security.
12. User Rights
Depending on applicable law, users may have rights of access, correction, deletion, restriction, portability where applicable and objection to certain processing. Contact contact@mahanaiti.com. Reasonable identity verification may be requested.
13. Children
QuickNotes is not currently designed or specifically intended for children and is not presented as a children’s service in its testing version.
14. Changes
QuickNotes is under development and testing, so features and providers may change. This policy may be updated accordingly. Appropriate notice may be provided where a significant change affects the use of personal data.
